Audio Visual Instructions for Speakers

Free Papers

A VLAN Network will be used for all free paper presentations.
This means that all free paper presentations will be PRELOADED via Internet or locally on to the main server.

Courses

The VLAN Network will also be used in course rooms (including surgical skills training course rooms). However, speakers may also use their own laptops in these rooms for course presentations.

N.B. 35 mm slides can not be used for any presentations.

All presentations must be submitted in advance (after 15 th August and not later than 14 September) by Internet using one of the following formats:

  • Powerpoint Version 98 up to Office 2003 (XP included)

  • PDF

(for other formats please send in your request to escrs@m-congress.com) If you use fonts other than standard Windows fonts these must be embedded into the presentation. Please see the information on http://www.m-congress.com

Please note the following :

  • There will be only one screen in each room, therefore dual projection will no longer be possible.
  • Videos tapes can be shown but not at the same time as PC presentations.
  • Videos will be accepted on VHS or S-VHS format.
  • Embedded Powerpoint videos will be supported if the link is relative embedded in the same path as the presentation. Please use only standard Codecs or upload the video AND the Codec by Internet three days before your presentation. Please also see the online help on http://www.m-congress.com

Using the Network - How it will Work

M-Events, the company which provided the service in Munich , will again be responsible for the network system in Paris.

1) Speakers should upload their presentations directly to M-Events via Internet to: http://www.m-congress.com and then follow the link for speakers and choose ESCRS conference using their username and password that will be sent to them by separate email from M- Events or via CD-ROM to :

2)  All speakers, even those who have pre-submitted presentations, must go to the Speaker Ready Room at least three hours before presenting.

3) The speaker will then be brought to a workstation (20 stations available) by one of the computer operators who will load and open their presentation (for security reasons only computer operators can open the presentation).

The speaker will then check the presentation and make changes if necessary. The computer operator will then send it to the server storage from where it will be made available in the room via an easy to use interface.

4)  If you wish to use a video (VHS or SVHS format) this should be handed in at the same time.

5)  Each morning the full day's presentations will be sent to the laptops in the theatres and saved on the hard drive. Presentations can be accessed in the lecture theatres but not altered or changed.

Please note that the only laptops which can be used in the free papers sessions are those provided as part of the system. You cannot plug your own laptop into this system . Changes to a presentation can only be made by the designated speaker and only in advance in the Speaker Ready Room.

6) Two lecterns will be used in each theatre. This will mean the first slide for the next presentation can be on screen before the previous presentation ends and will minimise delay between speakers.

Embedded videos will be permitted but the number of slides must be reduced to compensate for this.

N.B. Detailed help is available for all presentation related question on http://www.m-congress.com and will guide you through the upload process. Carefully read the information to avoid your presentation being not correctly displayed.

Presentations can be transferred from the Internet, CD Rom, Floppy Disk, Zip or directly from laptops (except laptops with Windows NT Version 4.0 or earlier versions, e.g. Windows 98, without administration rights)

For MAC Users: quicktime files can cause problems, please use one of the following Codecs: DIVX, WMV, Mpeg l, Mpeg 2

In the theatres the DVD Rom Drive and the Floppy Drive on the system laptops will not be accessible.

The presentations are automatically saved in a redundant manner to avoid any data loss as back-up.

If you wish your presentation to be deleted at the end of the Congress this must be made clear when registering with the Speaker Ready Room. Submissions can be sent from the 15th August 2004 to the 14th of September.

Please do not send your submission before this date. An acknowledgement will be issued on receipt of presentations.
