We have received several queries regarding phone and email communications from persons implying that they are representing ESCRS and offering discounted hotel accommodation for the Winter Meeting in Ljubljana. Please note that the people making these representations are in no way affiliated with ESCRS and we cannot vouch for the rooms or services which they are offering. These hotel rooms may not actually be available and may result in a financial loss if booked. Kuoni Destination Management is the official congress partner for hotel accommodation and is the only company offering accommodation on behalf of ESCRS. Applications for exhibition space must be completed online by creating an exhibitor account on the Ljubljana Exhibitor Resource Centre (ERC).
Please log on to the ERC here. *You will need to create your own Exhibitor Account to reserve space. No reservations can be taken by fax or email.

Once space is reserved you will have entered into a contract with ESCRS. Please note all cancellation policies carefully.
Shell schemes, furniture and fittings and other extras will be available to hire at additional cost, and must be ordered on-line through the ERC, details of which will be sent to you on receipt of full booth space payment. Bookings without credit card details will not be accepted. Companies wishing to have adjacent or shared space must submit their requests on the official online exhibition reservation form.
Booth Space rental includes:
1. Space only
2. Company and Product Listing on the ESCRS website
3. One Priority Point per €1000 spent on booth space rental
4. Complimentary Exhibitor Badge Allocation
The rental of booth space is €350 + VAT per square metre for space only. If required, shell schemes, furniture and fittings and other extras can be hired at additional cost, details of which will be sent to you on receipt of full booth space payment. Due to a ruling by the Slovenian Tax Authorities we have been advised that it will be necessary to apply VAT to the exhibition element of the 2014 Winter Meeting. This will be charged at a rate of 22%. Bookings without credit card details will not be accepted. Companies wishing to have adjacent or shared space must submit their requests on the official online exhibition reservation form.
Notification of cancellation of exhibition space must be received in writing by the Organiser on or before 31 March 2014. If notification of cancellation is received prior to 31 March 2014, and full payment (including VAT if applicable) has been paid, a refund of 75% of the total sum received by the ESCRS office for the booth space will be issued. If only the deposit payment has been received, no refund will be due.
If notification of cancellation of booth space is received after 31 March 2014 and the booth space has been paid in full, no refund will be due. If notification of cancellation of booth space is received after 31 March 2014 and only the booth space deposit has been received, the remaining 75% of the booth space cost will be due for payment.
If notification of cancellation of booth space is received after 31 March 2014 and no payment has been received, then 100% of the booth space cost will be due for payment.
If payment is not received within 30 days of cancellation the outstanding amount will be charged to the registered credit card.
This cancellation policy also applies in the event of part cancellation or reduction of booth space.
Applications for exhibition space must be made online by creating an exhibitor account on the Ljubljana Exhibitor Resource Centre (ERC), www.escrs.org. Applications will not be processed unless a valid credit card has been registered to the account (the card is not charged automatically as all payments may also be completed by bank transfer). A 25% deposit must be received by the ESCRS office within 1 week of the booth space booking being completed.
Full booth space payment is due by Friday 29 November 2013. Please note that booth space will be re-allocated unless payment is received in full by this date.
Please also note that outstanding invoices from previous congresses must be settled before booth space reservations can be processed.
Exhibition space will be assigned in early December and confirmation of booth space locations will be emailed after the allocations have been completed. Please note that requests for placement near or away from other exhibiting companies may limit booth space positioning.Back to Previous
